Cancellation Policy

At Crown Axis Media LLC, we are committed to transparent, fair, and professional business practices. This Cancellation Policy outlines the terms under which services may be cancelled, the applicable conditions, associated fees, and the proper process for submitting a cancellation request. Please read this document carefully before engaging our services.

⚖️   This Cancellation Policy is a legally binding agreement between you and CROWN AXIS MEDIA LLC. By using our services, you acknowledge and agree to these cancellation terms.

Cancellation Requests

Crown Axis Media LLC understands that business needs evolve and circumstances change. We recognize that clients may, at times, need to discontinue or pause a service engagement. Our cancellation policy is designed to ensure a fair, structured, and professional process that protects both the client and our company.

All cancellation requests must be submitted formally and in writing. Verbal cancellations, informal messages over social media, or unverified phone requests will not be considered valid cancellation notices. The cancellation becomes effective only after it has been formally acknowledged in writing by an authorized representative of Crown Axis Media LLC.

Important Notice: Submitting a cancellation request does not automatically pause, stop, or suspend any active services, billing cycles, or ongoing work. Services will continue to be delivered and billed until the cancellation request has been formally reviewed, approved, and a written confirmation has been issued by Crown Axis Media LLC.

Clients are encouraged to review their active agreements, subscription timelines, and any ongoing deliverables before submitting a cancellation request to fully understand the potential impact on their business operations and any financial obligations that may remain outstanding.

Cancellation Eligibility

Not all service cancellation requests are automatically eligible. The following conditions outline situations in which a cancellation request may be considered and approved by Crown Axis Media LLC:

  • The client submits a formal written cancellation request within the permissible cancellation window as specified in their individual service agreement or subscription plan.
  • The cancellation request is received before work on the applicable service phase, milestone, or deliverable has commenced by our team.
  • The client has fulfilled all outstanding financial obligations, including any pending invoices, partial payments, or milestone fees that may be due at the time of the cancellation request.
  • The request pertains to a monthly recurring subscription plan and is submitted at least 7 calendar days before the next scheduled billing date, ensuring adequate processing time.
  • The cancellation is requested due to documented failure by Crown Axis Media LLC to deliver agreed-upon services within the timelines specified in the signed service agreement, after a reasonable resolution period has been allowed.
  • Both parties mutually agree in writing to terminate the engagement, with all financial, deliverable, and intellectual property matters resolved and documented.
  • The client is within the initial review window of 48 hours from the date of purchase for select service categories where such a window has been explicitly offered in the service terms.
ℹ️ Eligibility Determination

Each cancellation request is individually reviewed by our client services team. Eligibility is not guaranteed solely by meeting one of the above conditions — all relevant factors, including project status, outstanding obligations, and the nature of services rendered, will be considered in the determination process.

Non-Cancellable Situations

Certain service engagements, project phases, and commitments are not eligible for cancellation once initiated. The following situations will not qualify for cancellation, and all associated fees will remain due and payable:

  • Services Already Delivered: Any service, deliverable, campaign, content piece, consultation session, or strategic asset that has already been fully or partially delivered to the client.
  • Work in Active Progress: Projects or service phases where substantial work has already commenced, resources have been allocated, or third-party costs have been incurred on behalf of the client.
  • Custom & Bespoke Projects: Tailored, custom-designed, or bespoke projects that were specifically created, scoped, or developed exclusively for the individual client and cannot be repurposed or reused.
  • Annual Subscription Plans: Clients enrolled in annual subscription plans who have accepted and benefited from the annual pricing discount are not eligible to cancel mid-term without the applicable early termination conditions being fulfilled.
  • Past the Cancellation Window: Requests submitted after the designated cancellation window has closed, as specified in the applicable service agreement or subscription terms.
  • Third-Party Costs Already Incurred: Fees paid or committed to third-party vendors, platforms, advertising networks, or suppliers on behalf of the client as part of service execution.
  • Post-Launch or Post-Publication Services: Content, campaigns, advertisements, or digital assets that have already been published, launched, or activated across any platform or channel.
  • Promotional or Discounted Plans: Services purchased under special promotional pricing, limited-time offers, or bundled discount arrangements that included explicit non-cancellation terms.
  • Consultation & Strategy Sessions: One-time or scheduled consultation, advisory, or strategy sessions that have already taken place or where preparation time has been invested by our team.

Please Note: Cancellation requests submitted for non-eligible services will not be approved. Clients who dispute charges for non-cancellable services through their financial institution will be subject to our chargeback dispute response, which may include submission of service delivery evidence and documentation to the card network or bank.

Cancellation Fees

Depending on the timing and nature of the cancellation, certain fees may apply. Crown Axis Media LLC invests significant time, resources, planning, and third-party costs in preparing and delivering services. Cancellation fees are structured to fairly compensate for work completed and resources committed up to the date of the approved cancellation.

Fee Discretion: All cancellation fees are assessed on a case-by-case basis. Crown Axis Media LLC reserves the right to adjust, waive, or modify cancellation fees at its sole discretion based on the circumstances, relationship history, and nature of the engagement. Final fee determination will be communicated in writing.

How to Request Cancellation

To ensure your cancellation request is properly received, reviewed, and processed in a timely manner, please follow the formal process outlined below. Requests submitted through unofficial channels will not be acknowledged or actioned.

Include your full name, company name, registered email, service type, invoice or account reference number, and the reason for cancellation.

Our client services team will acknowledge receipt of your request within 1–2 business days and begin the formal review process.

Review & Assessment

Your request will be reviewed against your active agreement, service status, and the terms of this policy. This typically takes 3–5 business days.

Written Determination

You will receive a formal written determination outlining the approval or denial of your cancellation request, along with any applicable fees or refund details.

Finalization

Upon agreement of final terms, the cancellation is officially processed and a confirmation document is issued. Services cease from the agreed termination date.

Formal Fax Communication Notice: Any cancellation requests, complaints, notices, or official communications sent by fax to +1 656-259-4112 will be treated as formal written communication and will be reviewed and responded to accordingly. Fax communications carry the same legal standing as written correspondence and will be processed with the same diligence and professionalism as email-based requests. Crown Axis Media LLC will maintain a record of all fax communications received as part of our formal documentation process.
